Congratulations on starting your own cleaning business! At this point, you may already be busy dealing with your clients. Dealing with clients is not that tough, right? However, have you tried to take it to the next level like dealing with bigger clients or should we say bigger companies?
When you’re in a business, you’re more likely to experience some ups and downs. That’s why you need to always think of better ways to keep existing and loyal customers while searching and getting bigger clients. However, dealing with bigger companies may be different from dealing with individual or smaller customers. Consider creating a bid packet to represent your company and allow prospective clients to know more about your business.
Bid packet contains all the information about your cleaning business, services you offer, and the bid price for the said services (cleaning or maintenance). There are no certain standards or formats for a bid packet, but you have to include important details in creating it. The following are some important information a bid packet must contain:
Cover Page. This part contains the logo and the name of your cleaning company. This should also have your company’s contact information and the company name of a specific client. Example of the header can be “Cleaning Services Proposal for SC Trade and Industry, Inc.”.
Table of Contents. There could be a lot of pages in your bid packet, so it would be better if you have an index of your bid’s contents to help your client have an easy access to some information he or she might be interested in.
Business Information. This page should have the information about your company and an outline of your ideas or cleaning specifications for that certain client. It will also be much better if you can provide some special services you offer that makes your company different from the others.
Cover Letter. A cover letter should contain a brief introduction and necessary information about the duration of your service and its designated price. Also, have the courtesy to thank them for giving you an opportunity to join their cleaning bidding process.
Specifications List. Some clients provides list of specific cleaning job they wanted to be done. If this is the case, include their list to your specifications list. However, most clients do not know specific details on the type of service they should have, so help them by providing a complete and comprehensive list of your cleaning services.
Contract. Your contract should be simple, short, and concise. Re-state the pricing, state terms of payment, effective date, service start date, termination procedures, and space for signatures.
References. Provide list of previous or current customers the prospective client can call. Include some basic information like the company name, address, contact person’s name, and contact number/s.
Bringing together and presenting a bid packet to prospective clients shows professionalism. Remember, your aim is to introduce your business and be awarded the contract. That’s why an impressive and carefully prepared proposal not just increases your chances of winning it, but also gives your company positive feedbacks.
